Microsoft Forms is one of the handiest apps that come with a Microsoft 365 subscription. Organizations can benefit from this online survey and form-building tool, which makes it easy to send year-end customer surveys and assess change readiness. It is not uncommon for some apps to go unused, and companies may not even be aware that they have access to these other helpful tools. Microsoft Forms is already included for free in your Microsoft 365 subscription.
What Is Microsoft Forms?
Microsoft Forms allows you to create forms, quizzes, and surveys easily with its drag-and-drop interface. You can send out surveys to recipients via a link, and they can fill them out online from any device.
The software instantly collates the results once the recipients have filled out the survey. You can view the charted results within the software, and also export them to Excel.
How to Get Started in Forms:
- Visit Forms.office.com to log into your Microsoft account.
- Choose “New Form” or “New Quiz” within the top menu
- OR explore the built-in templates.
- Click on “Add New” to add a new form field. Choose from field types:
- Choice (i.e., multiple-choice question)
- Text
- Rating
- Date
- Ranking
- Likert (a scale that records attitudes/opinions about a topic)
- Net Promoter Score® (a scale from “not likely” to “extremely likely”)
- Section (separator that can include a title and image)
- Enter your questions.
- Once finished, click “Send” at the top. You can distribute the survey using the following options:
- Link to a web form
- QR code
- Embed in a web page
- Via Facebook or Twitter
- View responses on the “Responses” tab
Advantages of Using Microsoft Forms
It’s Included in Microsoft 365 Subscriptions
If you are already subscribed to Microsoft 365, using Forms makes sense as it can save you money compared to using a separate survey tool such as Survey Monkey. You can easily access it by signing in with your Microsoft account.
It Saves Time
Sending a survey via email can be time-consuming as you have to worry about attachment-related email bounces and spend time collating the results as they come in.
Using MS Forms can save you a lot of time as people do not need to download anything or open an email file attachment. They can simply follow your link and fill out the form online, and you receive the results as soon as they fill out the survey. Forms also collates all the answers for you.
Get Charted Results Automatically
Meaningful graphs that show the results of the survey can be quickly viewed using Forms. It is also easy to export the survey results to Excel if you want to upload them into another platform.
On the “Responses” tab, hovering over the result graphs allows you to see the details.
It’s Easy to Use
Microsoft Forms has a very low learning curve as its interface is intuitive and simple, allowing just about everyone to jump in and start using it.
What Are Some Ways You Can Leverage Microsoft Forms?
Annual Customer Satisfaction Survey
Using a web-based survey can increase your response rate from customers. They can fill out your satisfaction survey from any device, making it quick and easy for them.
You can see results instantly. Then, chart them to gain insights into what your business is doing right, and what you can improve upon.
Employee Security Awareness Quiz
Send your employees a security awareness quiz using Forms. You can easily integrate it into your cybersecurity awareness training, and the platform also provides you with the average response time per person.
Change Readiness Survey
Many organizations are increasingly focusing on change management due to the speed of technology-driven transitions. You can use Forms to improve user readiness for change adoption by creating and sending out a change readiness survey to affected groups.
Event Registrations
Are you hosting an event? Gather registration details easily. Send out a Forms link via QR code, social media, text, or email to all your invitees.
Volunteer Registration Form
To sign up volunteers, embed an MS Forms registration form on your web page. The platform automatically collates different talents or other volunteer information, helping you better match people’s skills to your needs.
And More
You’ll find more ideas from the Forms templates. For instance:
- Competitive analysis study
- Post-event feedback survey
- Office facility request form
- Employee satisfaction survey
- Product pricing survey
- Food catering request form
- Save the date form
- Course enrollment form
